Guidelines for abstract submission
Abstracts must be submitted online using the abstract submission system. The official language is English. Each abstract is assigned with a number once submission is complete. Please refer to this abstract number in further correspondence regarding abstract submission. There is a possibility to amend your submitted abstract up to the deadline date. Authors whose abstracts are accepted for presentation will be expected to attend the meeting and make their presentation. Notification of acceptance or rejection will be emailed to authors.
Abstract preparation
Eligibility
All material submitted must be original and the data should not have been published or presented at the following paediatric surgery meetings APSA, CAPS, IPEG, PAPS, AAP, ESPES, ESPU, BAPS or BAPU.
Abstracts should also not be submitted to another International Congress with a parallel abstract reviewing process. If in doubt, please make a declaration on the abstract form for the EUPSA Scientific Office. Submitting abstracts without declaring previously accepted publication, published, or presentation at another meeting prior to the commencement of the EUPSA Congress, or submission to another Congress with a parallel abstract reviewing process will result in the senior author being disqualified for two subsequent years from submitting abstracts to EUPSA.
The authorship and content of abstracts accepted for presentation may not be altered after acceptance. The abstract title, author and affiliations will be published in the EUPSA Program based on the abstract submitted. All presenters must register for the EUPSA Annual Meeting.
A senior author/co-author is expected to attend the meeting for papers/reports presented by their trainees. Should unforeseen circumstances preclude this from occurring, another co-author of the abstract from the trainee’s institution or a EUPSA member should replace. The senior author is obliged if required to participate in the discussion following the trainee’s presentation.
Ethics
Evidence of ethical approval must be included in abstracts involving animal or human studies. There may be exceptions; the rules of the Institutional Ethics Review Board should be followed for retrospective studies.
Identifying features
Abstract marking will be blinded for author and centre to make the review process as objective, transparent and unbiased as possible. The names of authors and their affiliations (institutions) will be submitted on-line; these will be removed before the marking process. No identifying features such as names of authors, institutions, or cities should be listed in the title or the text of the abstract. Abstracts containing such information will be rejected.
Preparation of abstract and format
Abstracts should be submitted in MS Word Document (.doc, .docx) editing as follows: Font: Calibri, 10 point / Spacing and Indentation: single 0 point (before and after) Text body: Justified. The title must be in capital letters.
Regular abstracts should be structured in four parts:
• Aim of the Study
• Methods
• Main results
• Conclusions
Case reports should be structured in three parts:
• Aim of the study
• Case description
• Conclusions
Each abstract should be limited to a maximum of 250 words. Only one table or figure can be included. Abstract can be prepared in Word (or any other text editor) and the content pasted at the time of submission. Tables and special characters can be inserted by using the TinyMCE editor.
Following abstract submission, an e-mail about the successful submission will be sent which includes the layout in PDF. Please ensure that the entire abstract including figures/tables is no longer than one A4 page (portrait). Abstracts exceeding one A4 page will not be accepted.
Data presentation
Abstracts must include clear descriptions of results with actual data. For example – a p value without data is not sufficient.
