ASH Introduces Changes to Abstract Submissions

Prospective abstract submitters should take note of several changes for the 2024 ASH Annual Meeting.

• No figures or tables may be included in abstract submissions. This change is being made for greater consistency and efficiency in the review process. While only text is allowed in abstracts, figures and/or tables may be included in the oral and poster presentations for abstracts accepted to the program.
• Demographic information about clinical trial enrollments is requested. Given the importance of clinical trial enrollment reflecting the spectrum of the general population at risk for the disease under investigation, ASH requests that demographic information regarding, sex, gender, race, ethnicity, age, disability, or other relevant factors of enrolled subjects be included in an oral or poster presentation, when available. If some or all information is not available, ASH asks that presenters disclose in their oral or poster presentation the limitations that led to such data not being collected.
• Authors must acknowledge research integrity. Submitters will be asked to acknowledge via a checkbox on the submission form that “ASH expects all scientific research submitted or presented as part of the abstract program to conform to the generally accepted standards of scientific integrity regarding experimental design, data collection, analysis, and interpretation."

To submit an abstract, the following criteria must be met:

• At least one of the authors must be a current ASH member with up-to-date payment of membership dues.
• If none of the abstract authors is an ASH member, the abstract must be sponsored by a current ASH member. ASH members are urged to use their best judgment in restricting sponsorship to a reasonable number of abstracts, keeping in mind that they are endorsing the authenticity and quality of each abstract that they sponsor.
• The content of the abstract must fit into one of the ASH 2024 categories-摘要类别.
• In contrast to past years, oral abstract and poster presentations will no longer be contained within the ACCME-accredited portion of the annual meeting. Therefore, presenting authors are no longer subject to ACCME restrictions, and can be employees of publicly-traded or privately-held healthcare companies or owners of privately-held entities. All relevant conflicts of interest must be disclosed, and data presented fairly and transparently.

There is a $85 non-refundable handling fee for submission of each abstract. Payment must be made by credit card; Visa, MasterCard, and American Express are accepted. Purchase orders and checks will not be accepted. The abstract submission fee does not include registration for the annual meeting; therefore, all authors planning to attend the ASH annual meeting must register.

IN-PERSON REGISTRATION

The following are included when you register to attend the meeting in San Diego. Please note that spouse/guest registrants are eligible only for the events marked with an asterisk.

• Complimentary access to the meeting’s virtual platform through January 1, 2025 (In-person registrants will have the option to extend their access to the annual meeting virtual platform for an additional fee).
• Hematology 2024, the ASH Education Program (digital only)
• Program notebook
• Access to the ASH Annual Meeting app
• Admission to the General, Special Interest, Education, Scientific, Oral, and Poster Sessions
• Admission to the exhibit hall*
• Admission to receptions in the poster hall*
• Complimentary light lunch in the exhibit hall on Sunday and Monday*
• Daily coffee breaks*

VIRTUAL ONLY REGISTRATION

The ASH Annual Meeting virtual platform opens on Wednesday, December 4, 2024, to all attendees. Most sessions offered in San Diego will be broadcast simultaneously on the virtual platform. Once a session takes place, the platform will include an on-demand recording of the session.

There are three virtual access-only registration options:

ADVANCE REGISTRATION

Ends October 23, 2024, at 11:59 p.m. Pacific time

*Advance registration rates for Non-Members in Training are available through December 1, 2024.

LATE/ON-SITE REGISTRATION

Begins October 24, 2024 at 12:00 a.m. Pacific time

Registration Cancellation Policy

Registered participants may change their registration selection between the in-person or virtual meeting at any time without penalties or change fees.

Participants may request to cancel their registration and receive a refund as long as the request is received online on or before Wednesday, November 6, 2024. No refunds will be granted after this date. Note that all cancellations will include a $75 cancellation fee.

If you have extenuating circumstances that prevent you from attending, you are welcome to petition for an exception to this policy. To do so, please email the ASH Registration Center at ashregistration@spargoinc.com to explain your situation and include any documentation to support your case (documentation is optional but recommended). These petitions must be submitted by Monday, December 23, 2024, to be considered. The decision regarding your petition may take up to one month after the event. 

Cancelling your meeting registration does not automatically cancel your hotel reservation. All registration cancellations and refunds will be processed in the same manner as original payment:

• If paid by credit card, the refund will be issued to the card on record, within 5-7 business days of the request.
• Payments made by check will be refunded in one of two ways (additional documentation will be required once the refund request is received):
  
  
  • Domestic registrants: Refund payments will be made directly into your bank account through ASH’s Automated Clearing House (ACH) program
  • International registrants: Refund payments will be made through a wire transfer

Membership Application Deadlines

You must be a member to register at the member rate. Below are the cutoff dates by which you must apply to be approved as a member prior to the meeting.

Please note: Applicants approved for membership after registering for the meeting will not be refunded the difference between the member and non-member rates. This includes membership through the ASH Fundamentals for Hematology Fellows program.
